This Privacy Policy explains how SoilWater (“SoilWater”, “we”, “us”) collects, uses and protects personal data when you visit the SoilWater website at soilwater.com (the “Site”) or contact us through it.

The QSoil platform has its own QSoil Privacy Policy, which governs personal data processed in connection with a QSoil account.

1. Data controller

SoilWater.com is the controller responsible for your personal data under the EU General Data Protection Regulation (GDPR) and equivalent UK legislation. You can reach us using the contact details in section 10.

2. Data we collect

Information you give us

When you submit the consultation form or otherwise contact us, we collect the details you provide — typically your name, email address, organisation, an indication of land size, and the content of your message.

Information collected automatically

When you visit the Site we collect limited technical and usage data, such as your IP address, device and browser type, pages viewed and referring pages, used in aggregate to understand how the Site is used and to keep it secure.

If, and only if, you accept analytics in the cookie banner, we also use Google Analytics 4. It sets cookies on your device and processes usage data on our behalf, with IP anonymisation enabled. Google Analytics is not loaded and sets no cookies unless you accept it.

3. How and why we use your data

• to respond to your enquiry and provide the information or services you request;
• to arrange and follow up on consultations;
• to operate, maintain, secure and improve the Site;
• to comply with our legal obligations.

4. Legal basis for processing

Where GDPR applies, we rely on the following legal bases:

• Performance of a contract or taking steps at your request before entering into one — to handle your enquiry and consultation request;
• Legitimate interests — to run and secure the Site and understand how it is used, in a way that does not override your rights;
• Legal obligation — where we are required to retain or disclose data;
• Consent — where we specifically ask for it, which you may withdraw at any time.

5. Cookies

Strictly necessary storage — used only to remember your cookie choice and preferences you set on your device — is always active and needs no consent.

The only non-essential cookies we use are those set by Google Analytics, and we set them only after you accept analytics in the cookie banner. We do not use advertising or cross-site tracking cookies. You can change or withdraw your choice at any time using the “Cookie settings” link in the site footer, or by clearing this site’s data in your browser; declining, or clearing your choice, stops Google Analytics from loading.

6. Sharing and third parties

We do not sell your personal data. We share it only with service providers who process it on our behalf under written agreements — for example our website hosting and infrastructure provider and, where you have consented to analytics, Google (Google Analytics) — and with professional advisers or authorities where required by law. Some of these providers may process data outside the EEA/UK; where they do, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

7. Data retention

We keep enquiry and consultation correspondence for as long as needed to deal with your request and for a reasonable period afterwards to maintain our business records, then delete or anonymise it. If you ask us to delete your data, we will delete or irreversibly anonymise it within 30 days, except where we are legally required to retain it.

8. Your rights

If you are in the EEA or UK, you have the right to access your personal data, to have inaccurate data corrected, to have your data deleted, to restrict or object to processing, to obtain a portable copy of data you provided, and to withdraw consent where processing is based on it. 9. Children

The Site is intended for a professional audience and is not directed at children. We do not knowingly collect personal data from individuals under 16.
